100% Quality & Client Satisfaction Guarantee

Refund & Cancellation Policy

Last updated: · Transparent, fair, and legally protective terms

At Shahnaj Bano Software Engineering, our reputation is built upon meticulous code quality, rock-solid engineering practices, and unwavering client satisfaction. We operate with supreme confidence in every solution we ship. To date, zero clients have ever found cause to request a refund across 50+ shipped customer deployments.

However, because we believe our clients should feel 100% assured and protected when initiating new technical collaborations, this Policy clearly governs circumstances under which a refund may be requested, how fair deductibles are calculated, and how claims are processed.

01Satisfaction Commitment & Eligibility

If at any stage prior to final milestone sign-off you are genuinely dissatisfied with the progress, quality, or direction of the deliverables and feel we have failed to satisfy the written technical criteria, you are entitled to cancel the engagement and submit a formal refund request.

  • Timely Notification: Written cancellation notice detailing the technical deficiency must be submitted via email within the active development cycle of the disputed milestone.
  • Right to Cure (Resolution Window): In accordance with standard engineering contracts, the Developer shall be afforded five (5) business days to review the cited deficiencies and rectify the work at no additional charge to the Client. If the issues cannot be cured to the agreed specifications, the refund process is activated.

02Fair Deductibles & Calculation Methodology

Because custom software development involves immediate, non-recoverable resource allocation, research, architectural labor, and third-party provisioning costs, refunds are processed strictly “Net of Fair Deductibles” as mathematically described below:

A. Deductible for Completed & Accepted Milestones100% Non-Refundable

Any milestone, phase, or deliverable that has already undergone client review and received formal written approval or release of funds is finalized and strictly non-refundable. Completed and paid work represents executed value delivered to the client.

B. Deductible for Work-in-Progress (Pro-Rata Engineering Labor)Pro-Rata Adjustment

For active, partially completed milestones undergoing cancellation, the developer calculates the pro-rata engineering time accrued up to the exact cancellation timestamp based on verified git commit logs, staging deployments, and functional code components. The fair value of this accrued labor is deducted from the milestone deposit.

C. Deductible for Incurred Third-Party Operational CostsDirect Pass-Through Deductible

Non-recoverable third-party expenses purchased specifically on behalf of the client's project—including specialized cloud server provisioning, licensed design assets, third-party API tokens, domain registrations, or merchant processing transaction fees (Stripe/PayPal/Wire fees)—are fully deducted.

Standard Refund Calculation Formula:

Refund Amount = [Amount Paid for Disputed Milestone] - [Fair Pro-Rata Accrued Labor + Incurred Third-Party Expenses + Processing Fees]

03Situations Ineligible for Refund

To prevent commercial bad faith and protect intellectual output, refunds will not be issued under the following circumstances:

  • Change of Mind or Client Strategy: Internal shifts in business strategy, investor disputes, marketing pivot, or sudden lack of business capital after development has commenced.
  • Delays Caused by Client Inactivity: Projects stalled due to the Client's failure to provide mandatory feedback, assets, API keys, or database access for more than fourteen (14) consecutive days.
  • Post-Delivery Sign-off & Production Usage: Once final source code repositories have been transferred to client infrastructure, or the software is actively serving public users or generating revenue.
  • Third-Party Dependency Failure: Downtime, API deprecated methods, or service termination enacted by independent providers (e.g., OpenAI, Stripe, Apple App Store rejection for business model compliance) beyond the developer's code quality control.

04Intellectual Property Rights Upon Refund

In the event that any full or partial refund is issued to the Client:

  • All licenses, rights, and permissions to utilize, compile, copy, or deploy the disputed software deliverables are immediately and irrevocably revoked.
  • All proprietary code, repositories, staging servers, and work-in-progress architecture remain the exclusive, 100% intellectual property of the Developer (Shahnaj Bano).
  • Any unauthorized downstream use, deployment, or reverse engineering of the refunded code by the Client constitutes copyright infringement subject to statutory damages.

05How to Request a Review or Refund

Because we value long-term partnerships above all else, any concern or grievance is handled personally with high priority:

  1. Submit Written Request: Send an email to fyerstradingacc@gmail.com with the subject header “Billing & Project Review - [Your Project Name]”.
  2. Include Documentation: Detail the contract milestone, specific non-conformance with the technical specifications, and the desired resolution.
  3. Evaluation & Processing: We review the case within two (2) business days. Approved refund adjustments are processed back to the original funding method (Stripe, Freelancer.com Escrow, or Direct Wire) within five to ten (5-10) banking days.
